Video Front Inc. ("Video Front," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our B2B sales outreach platform (the "Service"). By using the Service, you consent to the data practices described in this Privacy Policy.
Please read this Privacy Policy carefully. If you do not agree with the terms of this Privacy Policy, please do not access or use the Service.
1. Information We Collect
We collect several types of information from and about users of our Service:
1.1 Information You Provide to Us
Account Information. When you create an account, we collect your name, email address, company name, job title, phone number, and password.
Payment Information. If you purchase a paid subscription, we collect billing information including credit card details, billing address, and transaction history. Payment processing is handled by third-party payment processors, and we do not store complete credit card numbers.
Biometric Data. You provide facial images and voice recordings to create AI-generated avatars. This biometric data is processed to train machine learning models that generate your personalized avatars. We may retain model training data even after you delete your avatars.
Company Materials. You upload photos, videos, documents, presentations, and other content to use in creating custom demo links. This content is stored within your company workspace.
Prospect and Client Lists. You may upload lists containing names, email addresses, company names, job titles, and other contact information of your prospects and clients.
1.2 Information Collected Automatically
Usage Data. We automatically collect information about how you interact with the Service, including features used, pages viewed, buttons clicked, time spent on pages, and navigation paths.
Device Information. We collect information about the device you use to access the Service, including device type, operating system, browser type and version, IP address, and unique device identifiers.
Analytics Data. We collect detailed analytics about how prospects interact with demo links you share, including: (a) whether the link was opened; (b) time spent viewing the demo; (c) interactions within the demo (clicks, pauses, replays); (d) device and browser information; (e) geographic location (country/region); and (f) timestamp of access.
Cookies and Tracking Technologies. We use cookies, web beacons, and similar tracking technologies to collect information about your browsing activities and to improve the Service. You can control cookies through your browser settings.
Log Files. We collect log file information including IP addresses, browser types, referring/exit pages, date/time stamps, and clickstream data.
1.3 Information from Third Parties
We use third-party AI service providers to process your biometric data and generate avatars. These providers may collect and process information in accordance with their own privacy policies. We do not control third-party data collection practices.
2. How We Use Your Information
We use the information we collect for the following purposes:
- To provide, operate, and maintain the Service;
- To create and train AI-generated avatars based on your facial images and voice recordings;
- To generate custom demo links using your company materials;
- To process payments and manage subscriptions;
- To provide you with analytics and insights about prospect engagement with your demo links;
- To communicate with you, including sending service-related announcements, updates, security alerts, and customer support messages;
- To send you marketing communications, promotions, and newsletters (you may opt out at any time);
- To improve, personalize, and optimize the Service based on usage patterns and feedback;
- To detect, prevent, and address technical issues, fraud, and security threats;
- To enforce our Terms of Use and other policies;
- To comply with legal obligations and respond to lawful requests from government authorities;
- To conduct research and development to improve our AI models and Service features.
3. How We Share Your Information
We do not sell your personal information. We may share your information in the following circumstances:
3.1 Within Your Organization
Information you upload (avatars, company materials, prospect lists) is accessible to authorized users and managers within your company workspace. We maintain workspace isolation so that your data is not visible to other Video Front customers.
3.2 Third-Party Service Providers
We share your information with third-party vendors who perform services on our behalf, including:
- AI service providers that process biometric data to create avatars;
- Cloud hosting and storage providers;
- Payment processors;
- Analytics and performance monitoring services;
- Customer support and communication platforms.
These service providers are contractually obligated to use your information only to provide services to us and to protect your information.
3.3 Business Transfers
If Video Front is involved in a merger, acquisition, asset sale, bankruptcy, or other business transaction, your information may be transferred as part of that transaction. We will notify you of any change in ownership or control of your personal information.
3.4 Legal Requirements and Protection
We may disclose your information if required to do so by law or if we believe such action is necessary to: (a) comply with legal obligations, court orders, or government requests; (b) enforce our Terms of Use; (c) protect the rights, property, or safety of Video Front, our users, or others; or (d) detect, prevent, or address fraud, security, or technical issues.
3.5 With Your Consent
We may share your information with third parties when you give us explicit consent to do so.
3.6 Aggregated and De-identified Data
We may share aggregated or de-identified information that cannot reasonably be used to identify you. This may include usage statistics, industry benchmarks, and performance metrics.
4. Data Security
We implement reasonable administrative, technical, and physical security measures to protect your information from unauthorized access, use, disclosure, alteration, or destruction. These measures include encryption, access controls, secure data centers, and regular security audits. However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials.
5. Data Retention
We retain your information for as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Specific retention periods include:
- Account Information: Retained for the duration of your account plus a reasonable period afterward for legal compliance;
- Biometric Data: You may delete avatars at any time, but we may retain trained model data for technical and operational purposes;
- Company Materials and Prospect Lists: Retained until you delete them or terminate your account;
- Analytics Data: Retained for up to 24 months;
- Payment Information: Retained for the duration required by tax and accounting laws.
6. Your Privacy Rights
Depending on your location, you may have the following rights regarding your personal information:
6.1 Access and Portability
You have the right to access and obtain a copy of your personal information in a structured, commonly used, and machine-readable format.
6.2 Correction
You have the right to request correction of inaccurate or incomplete personal information.
6.3 Deletion
You have the right to request deletion of your personal information, subject to certain legal exceptions. You can delete avatars, company materials, and prospect lists through your account settings. To delete your entire account, contact us at privacy@videofront.com.
6.4 Opt-Out of Marketing
You can opt out of receiving marketing emails by clicking the unsubscribe link in any marketing email or by updating your communication preferences in your account settings.
6.5 Biometric Data Rights
You have the right to know how your biometric data is collected, used, and stored. You may request deletion of your biometric data, subject to our data retention policies regarding trained models.
6.6 Object to Processing
You may object to certain types of processing, including processing for direct marketing purposes.
6.7 Withdraw Consent
Where we rely on your consent to process your information, you have the right to withdraw that consent at any time.

7. State-Specific Privacy Rights
7.1 California Residents (CCPA/CPRA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):
- Right to know what personal information we collect, use, disclose, and sell;
- Right to delete your personal information;
- Right to correct inaccurate personal information;
- Right to opt out of the sale or sharing of personal information (we do not sell personal information);
- Right to limit use and disclosure of sensitive personal information;
- Right to non-discrimination for exercising your privacy rights.
We collect the following categories of personal information: identifiers (name, email, IP address); biometric information (facial images, voice recordings); commercial information (purchase history); internet activity (usage data); geolocation data; and professional information (company name, job title).
7.2 Illinois Residents (BIPA)
If you are an Illinois resident, you have rights under the Illinois Biometric Information Privacy Act (BIPA). We collect and use your biometric information (facial images and voice recordings) solely for the purpose of creating AI-generated avatars as described in our Terms of Use. We: (a) inform you in writing of the specific purpose and length of time for which your biometric data is collected, stored, and used; (b) obtain your written consent before collecting biometric data; (c) do not sell, lease, or trade your biometric information; and (d) store, transmit, and protect your biometric information using reasonable security measures.
7.3 Other State Privacy Laws
If you reside in Virginia, Colorado, Connecticut, Utah, or other states with comprehensive privacy laws, you may have similar rights to those described above. Please contact us at privacy@videofront.com to exercise your rights.
8. International Users and Data Transfers
Video Front is based in the United States. If you access the Service from outside the United States, please be aware that your information will be transferred to, stored, and processed in the United States where our servers are located and our central database is operated. By using the Service, you consent to the transfer of your information to the United States. The data protection laws in the United States may differ from those in your country of residence.
9. Children's Privacy
The Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children under 18. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at privacy@videofront.com, and we will delete such information from our systems.
10. Third-Party Links and Services
The Service may contain links to third-party websites or services that are not operated by Video Front. This Privacy Policy does not apply to third-party websites or services. We are not responsible for the privacy practices of third parties. We encourage you to review the privacy policies of any third-party sites you visit.
11. Do Not Track Signals
Some web browsers have a "Do Not Track" feature that signals to websites that you do not want your online activities tracked. Our Service does not currently respond to Do Not Track signals.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will notify you of material changes by posting the updated Privacy Policy on the Service and updating the "Effective Date" at the top. For significant changes, we may also send you an email notification. Your continued use of the Service after the effective date of the updated Privacy Policy constitutes your acceptance of the changes.
